Film Exhibition Curatorial Associate

The Film Exhibition Curatorial Associate is a full-time career position that will work independently and report to and receive general guidance from the Senior Film Curator.

Responsibilities:

  • The Film Exhibition Curatorial Associate is responsible for independently managing many aspects of BAMPFA’s 450 film programs per year, both through logistical planning and by serving as department point person for internal and external requests for information. Works with three film curators on logistics related to major retrospectives
  • Manages guest logistics, including travel, accommodation, and honoraria payments. Conducts travel research and makes complex travel arrangements for visitors for BAMPFA film program guests. Books dinner reservations and plans social events. BAMPFA’s screening program hosts over 125 guests annually, representing local, domestic, and international guests.
  • Processes film rental invoices; generates distributor box office reports.
  • Creates FileMaker Pro database records to track specific information, such as film bookings, exhibition format, rental rates, rights clearances, and guest logistics.
  • Coordinates with the following internal departments:
  • Security, Business Office, Communications, Visitor Services, Development to manage the logistics of the year-round film program.
  • Develops promotional materials working with the Communications Department, including the four program guides printed annually, website content, and electronic promotional materials for all film programs. Proofreads galleys and all materials for publication.
  • Serves as department point person and subject matter expert for BAMPFA image database (Piction).
  • Sources film stills and screener copies of films.
  • Analyzes and directs campus and community outreach. Performs research on, and maintains relationships with, campus and community organizations.
  • Coordinates film attendance for UC Berkeley classes (to be charged to the subvention fund.)
  • Serves as team lead for work-study students and interns, who help with work flow related to campus and community outreach and inputting scans into BAMPFA image database (Piction).
  • Prepares and writes project and operational grant reports for all completed grant-funded film programs. Supplies Development department with analysis of attendance information for grant applications and various reports.
  • Responsible for purchasing special materials to support the film program.
  • Sets up publicity meetings; gathers screeners (preview copies on DVD format as well as screener links) and still images.
  • Manages payment of honoraria for guests, coordinating with the Business Office to ensure timely and accurate submittal of university vendor payment forms.
  • Reviews film program charges (film rentals, guest travel costs) for accuracy.
  • Monitors expenditures and tracks project-based funding for grants.
  • Gives thoughtful introductions to film programs, on occasion.
  • Responds to unsolicited program proposals.
  • Sets up various departmental meetings (Curators’ Meeting, Weekly Check-Ins).
  • Provides administrative coordination of Board of Trustees Film Committee. Sends meeting invitations and advance agenda; takes meeting minutes.
  • Coordinates special projects as needed (e.g. e-titling, translations, etc.)
  • Cross-trained to cover correspondence related to print traffic.

Requirements

  • Strong knowledge of history of film and solid understanding of the technical presentation standards of cinema exhibition, including archival issues related to film.
  • Experience with logistical events planning, preferably with a film or cultural venue.
  • Excellent communication and public speaking skills; able to work effectively with curators, filmmakers, and other guest presenters.
  • Strong and effective writing skills needed to prepare a variety of correspondence, reporting, and other documents such as film notes or website content related to BAMPFA’s film program.
  • Experience serving as team lead for interns and volunteers or directing the work flow of part-time staff.
  • Ability to establish and achieve goals.
  • Ability to deal with multiple demands in high pressure, public presentation situations, thinking quickly and effectively to create and implement solutions to problems.
  • Strong analytical skills; ability to determine, gather, and analyze film exhibition related information, including technical specifications, cost estimates, and other event information. Ability to analyze event related information and stats and execute programs on limited resources
  • Working knowledge of exhibition practice, customer and client relations, and event management.
  • Ability to work on multiple projects with competing deadlines and to establish goals and work load priorities.
  • Strong computer skills including knowledge of Mac OS and MS Office; Filemaker; Google mail, calendar, and Drive; Adobe Acrobat.
  • Initiative and ability to work independently and as part of a team.
  • Professional experience in logistical planning, preferably with a major film institution.

Education/training

Bachelor degree in Film Studies; and a minimum of one year of work experience in film curatorial-related field.

Other

Must be available to work nights and weekends as needed.
